Program Quality & Operation Assistant

About the role

The Program Quality & Operation Assistant supports the delivery of high‑quality programmes by ensuring accurate donor reporting, effective data management and smooth operational processes. Working closely with programme, finance and monitoring teams, the assistant helps maintain compliance and facilitates timely communication across the organisation.

Key responsibilities

• Maintain donor reporting templates, guidance and requirements, and ensure reports meet organisational standards.
• Extract, compile and present programme data from the Activity Monitoring System and other sources for donor and internal reviews.
• Conduct quality reviews of programme reports and keep documentation audit‑ready.
• Monitor grant and PNS project progress against KPIs, budgets and implementation plans, updating tracking tools regularly.
• Assist consultants in managing reporting schedules, preparing periodic and end‑of‑project reports, and coordinating with field teams.
• Organise meetings, trainings, field activities and support project close‑out procedures, including check‑lists and asset disposition.
• Maintain up‑to‑date physical and digital filing systems and prepare routine summaries and updates.
• Liaise with internal teams to support programme implementation and provide administrative assistance during field missions.
• Follow organisational policies, safeguarding and confidentiality standards.

Required profile

• Diploma or Bachelor’s degree in Business Administration, Development Studies, Social Sciences or a related field.
• 1–3 years of relevant experience (internship experience acceptable).
• Basic understanding of donor reporting, data extraction and programme monitoring.
• Strong attention to detail and ability to work collaboratively across departments.
• Commitment to confidentiality and adherence to safeguarding and quality frameworks.
