Program Quality & Operation Assistant

About the role

World Vision is seeking a Program Quality & Operation Assistant to support donor reporting, data management, and operational coordination across its programmes in Timor‑Leste. The role ensures high‑quality documentation, monitors project performance, and assists with compliance and safeguarding standards.

Key responsibilities

• Maintain donor reporting templates, guidance, and requirements; compile and review program reports for alignment with donor and organisational standards.
• Extract, compile, and present programme data from the Activity Monitoring System and other organisational systems for reporting and review.
• Organise and track grant and PNS project progress against KPIs, budgets, and implementation plans; update tracking tools regularly.
• Assist consultants with project reporting schedules, ensuring timely delivery of periodic and end‑of‑project reports.
• Support the planning and logistics of meetings, trainings, field activities, and project close‑out processes.
• Maintain up‑to‑date physical and digital filing systems; prepare routine reports, summaries, and updates.
• Liaise with internal teams to facilitate programme implementation and provide administrative support during field activities.
• Uphold organisational policies, safeguarding, accountability, and quality frameworks while protecting confidential information.

Required profile

• Diploma or Bachelor’s degree in Business Administration, Development Studies, Social Sciences, or a related field.
• At least one year of relevant experience in programme support, reporting, or operations within an NGO or development context.
